Procedure and Division of Work


Functions related to the Pre-Examination work, Actual conduct of the Examinations and preparation of results and Post Examination work is carried out by the different units of Examination Branch. These units and brief procedure of work is as follows

Unit No.1: Confidential Unit:

This Unit is related to Pre Examination work. Particularly it carries out

  • The fixation of confidential printers for printing of question papers ,

  • Receiving manuscript of Question Papers from Paper-setters,

  • Coding of manuscripts of Question Papers,

  • Printing of Question Papers and making arrangement for sending it to the various examination centres.

  • Solve the queries raised in the Question Papers during Examination period. Prepare sets of Question Papers for various reasons.

  • To get the expenditure of Confidential Printing of Question Papers audited from the approved Chartered Accountant.

  • To make the arrangement of payment to the Confidential Printers.

Unit No.2: Co-ordination Unit

This unit is also related to the Pre Examination Work, broadly it carries out the work as follows:

  • To convene the meetings of Section 32 (5)(a) of Maharashtra Universities Act, 1994, for appointment of paper setters, examiners, moderators, referees.

  • To send the invitation letters to the paper-setters, examiners, moderators referees.

  • To prepare the schedule of examination of each half of the academic year.

  • To make the arrangement for preparation of financial estimates of the examination branch.

  • To make substitute appointment of paper-setters, examiners and moderators if any.

  • Prepare time-table for setting of question papers, make the arrangement for setting of question papers.

  • Prepare Programmes (Detailed Time-Table) of various examination and send it to various colleges/institutions, University departments.

  • Make the arrangement for appointments of Senior Supervisors, Vigilance Squads, Custodians etc.

  • Make the arrangement of furniture required to the examination centres during examination period.

  • To make the arrangement of advances required for the conduct of examination.

  • To make seating arrangement of the students of Pune City.

  • To fix venue of the Central Assessment Programme and to appoint the Directors of the Central Assessment Programme.

  • To prepare list of examiners, moderators for the purpose of Central Assessment Programme.

Unit No.3 & 4: Unit Scrutiny & Tabulation (S&T).

These units are mainly related to the work of Scrutiny and Tabulation of results of various examinations i.e. actual conductance of examinations and declaration of result. The work carried out by these units are given below:

Part (A)

  • Collection of examination forms from the colleges/institutes/university departments.

  • Scrutiny of Examination Forms.

  • Send the Examination Forms to the Computer Section for further processing.

  • Collect namelists, summary and admit cards of the students from the Computer Section.

  • To make the arrangement for sending the name lists, summary and admit cards to the concerned Colleges/ Institutions/ University Departments.

  • Prepare a time-table for practical examinations and send to the Colleges/Institutions/University Departments.

  • To issue instructions to the Colleges/Institutions for collection of answer-books from the examination centres to the venue of the Central Assessment Programme.

Part (B)

  • To remain present in the office one hour before the schedule time of the examinations to deal with the queries, if any, regarding the admit cards, seat nos. etc.

  • Make arrangement for collection of answer-books from various examination centres to the venue of the Central Assessment Programme (CAP).

  • To make available the list of examiners, moderators to the CAP Directors.

  • To make funds available at the disposal of the CAP Directors.

  • To make available the question papers, model answers, scheme of marking etc to the CAP.

  • To keep liaison between the Director, CAP and the University.

  • To visit CAP Centres from time to time.

Part ( C )

  • To receive mark-lists/C.D. of markslists from the CAP/examiners as the case may be and send it to the computer section for further processing.

  • To receive discrepancies reports from the computer section, Solve discrepancies and sent it to the computer section.

  • Check the results,

  • Collection of final results such as statements of marks, college result ledgers, office result ledger, and passing certificate and pass list.

  • Sorting of the statement of marks, college results ledger, passing certificates and pass list college wise/institution wise.

  • Make the arrangement to distribute the examination results to concerned Colleges/Institutions/University Departments.

  • To make the corrections if any in the examination result on the basis of revaluation, eligibility and unfairmeans etc.

Unit No.5: Certificate Section:

  • Convocation :-
     This Unit receives approximately 56,000 (Fifty Six thousand) applications for conferment of degrees/diplomas for each year. The convocation is held once in a year as per the Maharashtra Universities Act 1994, section 98. The wok of convocation is assigned to one Assistant Section Officer and eight Assistants. This unit is required to make necessary arrangement for getting gold medals ready from the authorized Jwellers.

    Minimum Sixty gold medals are awarded in the convocation.

  • Degree certificate :
    is issued even after the convocation Under the provisions of Ordinance 104.The number of certificates issued under this provision is approximately 5000 each year.

  • Duplicate Degree Certificates:
    This Unit issues duplicate degree certificates under provisions in this regards. The number of duplicate degree certificates issued under this provision is approximately 1500 each year.

  • Special Certificates :
    These certificates are issued to the passed students on application. The number of Special certificates issued is approximately 5000 each year.

  • Verification of Documents:
    Verification of Degree certificates, Duplicate degree certificates, Special certificates is done by this sub unit. The unit receives almost all certificates for verification, which are submitted abroad by the students of this university. Various embassies, Visa officers, Appointing authorities and Universities where students seek admission for further studies request verification of documents.

  • Duplicate Statement of Marks, Passing Certificates

    Under the Provisions of Ordinance 148, the duplicate statement of marks and passing certificates are issued to the students after paying the prescribed fees. Fees for each duplicate statement of marks is Rs. 95/- for professional courses and Rs. 65/- for non-professional courses.

  • Transcripts and Rank certificates:

    Transcript is a special type of certificate, which shows all performance of the student for that particular course at a glance. Almost all the students who migrate for further studies abroad request this type of certificate. The number of students requesting for this certificate is increasing day by day. Approximately 8000 transcripts are issued in a year. Rank certificates are issued to the rank holders for ranking either in whole examination or in particular subject as the case may be. Approximately 400 certificates are issued in a year. Fees for Transcript is Rs. 125/- for each year of professional courses and Rs.95/- for each year of non-professional courses.

  • Unfair-means committees :

    The cases of students who resort to unfair-means during the university examination are received by this unit from Squads appointed by the university at the time of examinations, Senior Supervisors, Principals of the colleges, Director, Central assessment programs and various examination centres. Approximately 3500 cases of unfair-means are received twice in a year i.e. April & October.

  • Lapses committee :

    In order to investigate and take disciplinary action for malpractice and lapse on the part of candidate, paper setters, examiners, moderators, referees, teachers or any other persons connected with the conduct of examinations, the committee is appointed under the provisions of Maharashtra Universities Act 1994, Section 32 (6)(a) This committee submits its report of recommendations to the Board of Examinations.

  • Gold Medals and Prizes:

    Medals and Prizes are instituted under the provision of Maharashtra Universities Act 1994, Section 28 (o). Minimum 60 Gold Medals are awarded at the Convocation.

  • Record Room

    The original record related to all results of various examinations conducted by the University from it’s establishment is preserved by this unit. In addition to this, record regarding original mark-lists so also unfair-means cases etc. for the last three years is also preserved in this unit.

  • Inward :

    The entire ‘tapal’ meant for examination section is received by this unit and whole procedure includes tapal marking, recording it in registers, distribution to concerned units/individuals

  • Despatch :

    The total postage for dispatch unit is to the tune of twelve lakhs during the financial year. The despatch procedure includes sorting (district wise and pin code wise), franking, pasting of envelops and handover these envelops/parcels etc. to the Ganeshkhind Post office before stipulated timing, maintenance of franking machine, keeping day to day accounts etc.

Unit No. 6- Revaluation Section

Activities of this unit are given below:

  • To receive applications from students for verification and revaluation of answerbooks.

  • To register the applications faculty wise and examination wise.

  • To start verification process first, the results of verifications to be communicated to the concerned colleges/Institutes.

  • To mask the answer-books before revaluation.

  • To send the answer-books for revaluation or make the arrangement for the Central Assessment Programme for the revaluation,

  • To collect the marklists after revaluation.

  • To communicate the revaluation results to the concerned colleges/Institutes.

  • To supply the stationery.
